1. Who we are and what this policy covers

Ainsley Elizabeth Gift Co. ("Ainsley Elizabeth," "we," "us," or "our") provides corporate gifting services in British Columbia. This policy applies to personal information we handle through this website, proposal inquiries, and related communications. We handle that information under applicable Canadian privacy laws, including British Columbia’s Personal Information Protection Act and, where applicable, the federal Personal Information Protection and Electronic Documents Act.

It does not apply to third-party websites or services that have their own privacy policies.

2. Information we collect

Information you provide

When you submit a gifting inquiry or communicate with us, we may collect:

  • your name, company, email address, and phone number;
  • project details, such as gift type, estimated recipient count, desired date, general delivery municipality or region, dietary needs, and notes;
  • communications, proposal details, approvals, and records of our relationship; and
  • billing, delivery, and recipient information if you later proceed with an order.

Please do not provide recipient street addresses, payment-card details, or other sensitive information through the initial proposal form. We will arrange an appropriate method if those details are needed later.

Information collected automatically

Our website and hosting providers may automatically process limited technical information needed to deliver and protect the site, such as your IP address, browser and device type, requested pages, referring page, and the date and time of a request. Server and security logs may contain this information.

Proposal form handoff

If you begin an inquiry using the short form on our home page, your name, email, company, and project type are temporarily stored in your browser’s session storage so the full proposal form can be pre-filled. That information stays on your device, is removed after the handoff, and is not sent to us until you submit the full form.

Cookies and analytics

As of the effective date, this website does not use advertising cookies, behavioural advertising pixels, or non-essential analytics trackers. Our hosting and security infrastructure may use strictly necessary technologies to provide, secure, and troubleshoot the website. If we introduce non-essential analytics or advertising tools, we will update this policy and provide any notice or choice required by law before using them.

3. How we use personal information

We use personal information to:

  • respond to inquiries and prepare, discuss, and administer proposals;
  • confirm availability, timing, product preferences, delivery details, and dietary needs;
  • fulfil and support orders and managed gifting programs;
  • communicate about an inquiry, order, service issue, or privacy request;
  • operate, secure, maintain, and improve the website and our services;
  • keep appropriate business, consent, tax, and transaction records; and
  • comply with legal obligations and establish or defend legal claims.

We collect, use, and disclose personal information with consent or as otherwise permitted or required by applicable law. You may withdraw consent, subject to legal or contractual restrictions and reasonable notice. Withdrawal may limit our ability to respond to an inquiry or provide a requested service.

Marketing communications

Submitting an inquiry does not subscribe you to a general marketing list. If we offer marketing emails in the future, we will obtain any consent required by Canada’s anti-spam legislation and include a working way to unsubscribe. You may ask us at any time to stop promotional communications.

4. When we share information

We may share personal information only as reasonably necessary with:

  • service providers that support website hosting, security, communications, records, payments, and business operations;
  • makers, couriers, and delivery partners when needed to prepare or deliver an approved order;
  • professional advisers, insurers, regulators, law enforcement, or other parties when required or permitted by law; and
  • a successor or prospective successor in connection with a business transaction, subject to appropriate safeguards.

We do not sell or rent personal information. We remain responsible for personal information transferred to service providers for processing and expect them to protect it and use it only for authorized purposes.

Processing outside British Columbia

Some service providers may process or store information outside British Columbia or Canada. Information in another jurisdiction may be subject to that jurisdiction’s laws and lawful access by its courts, regulators, or authorities.

Retention

We retain personal information only for as long as reasonably necessary for the purposes described above, including to complete an inquiry or order, maintain required business and tax records, resolve disputes, and meet legal obligations. We then securely delete, destroy, or anonymize it where appropriate.

Safeguards

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No method of electronic transmission or storage is completely secure, so we cannot guarantee absolute security.

We assess and respond to privacy incidents and notify affected individuals or regulators where required by applicable law.

5. Your privacy rights

Subject to applicable law, you may ask to access personal information we hold about you, learn how it has been used and disclosed, or request correction of inaccurate or incomplete information. You may also withdraw consent or raise a concern about our handling of your information.

We may need to verify your identity before responding. Legal exceptions may limit access in some circumstances; if we refuse a request, we will explain the reason where required.

Children’s privacy

This website and our services are intended for businesses and adults, not children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, please contact us so we can address it.

6. Changes to this policy

We may update this policy to reflect changes to our services, information practices, or legal obligations. We will post the revised policy here and change the effective date. If a change is material, we will provide additional notice or seek consent where required.

7. Contact the Privacy Officer

For an access or correction request, consent withdrawal, privacy question, or complaint, contact the Privacy Officer for Ainsley Elizabeth Gift Co. through our Plan a Gift form. Choose “Other” and write “Privacy request” at the beginning of your message.

If we do not resolve your concern, you may contact the Office of the Information and Privacy Commissioner for British Columbia or another privacy regulator with jurisdiction.
